Tasks play a crucial Role in distributing and organizing work both within a Company and between different Project partners. This guide provides a step-by-step instruction for effective Task assignment.
Understanding Project Members and Roles
Tasks can be Assigned to any Project member, Contact, or Team that has been invited to the Project. To learn more about Project members, Click here.
You can Assign Tasks to a person, a Team, or a Contact in two ways.
1. When creating a new Task: Open the Pin and select create Task. In the Task detail view, you can select a responsible person, a Team, or a Contact in the Assigned Field.
2. For an existing Task: Open the desired Task and go to the Task detail view. There, you can Click on the current Assignee and change it.
Available categories are Members, Teams, and Contacts. These are displayed in separate tabs, which you can switch between. Additionally, the most recently used Assignees appear at the top of each tab, allowing you to select them quickly.
Assign Tasks to Contacts: Contacts are not active users of docu tools and do not receive Task notifications. This option is used to document which Company is responsible for a specific Task. To inform Contacts about Tasks, we recommend creating a Task report and sending it to them via email.
Assign Tasks to a Team: The Teams enable even better cooperation and thus simpler processes on the construction site. Once a Task is Assigned to a Team, all Team members are notified, and they can view and complete the Task by marking it as Mark as completed. This allows individual Teams to work better with each other and have full control over all Pins and Tasks of their Team, e.g., in case of vacation replacements or leaving the Project.
Close Tasks
As the Creator or Project admin of a Task, you have the right to close a Task once it has been Mark as completed. In cases where a Task has not been completed to your satisfaction, you can also reopen it. To close or reopen a Task, simply Click on the Status of the Task and select the appropriate option.
