In situations where a stable internet connection is not available, you can Download Projects in advance and work offline with our docu tools app.
Ensure that you have a stable internet connection at home or in the office for the Download process. Please refer to the guidelines to ensure smooth data synchronization.
NOTE: Depending on the Project size, internet quality, and device capacity, the Download may take some time. Please do not close the app before the process is complete, as this may lead to errors and incomplete data Download. For larger Projects, it is a good strategy to let the Download run overnight.
Downloading Data
On the tablet, there are 2 options for Downloading data for offline use: Download a whole Project or individual Plans. On a smartphone, you can only Download individual Plans.
Download a whole Project onto the tablet:
Click on the cloud icon next to the Project in the Projects list.
A notification will display the required storage space on your device.
Click on
Downloadto proceed.
Download individual Plans on tablet and smartphone:
Tablet: Open a Project and Click on the cloud icon for the Plan you want to Download.
Smartphone: Open a Project and swipe left over the Plan you want to Download.
If the Plan is less than 100 MB, the Download will start immediately.
If the Plan is larger than 100 MB, a notification will appear indicating the free local storage space.
Click on
Syncand the Plan will be added back to the queue.You can add multiple Plans to the Download queue.
You will receive a notification once a Plan from the queue has been successfully Downloaded.
Sync View
On the tablet, there is an additional cloud icon in the top Menu list for the Sync view.
On the smartphone, the icon for the Sync view is located in the tab bar.
In the Sync view, you can see all Downloaded Projects or Plans and start synchronization at the same time.
During synchronization, your offline changes are uploaded and all new data from other users are Downloaded.
NOTE: Always synchronize Projects with a stable internet connection before you start working offline to ensure you have the latest data.
Uploading Offline Data
After you have worked offline, re-synchronize the Projects as soon as you have a stable internet connection again to upload the data to the web app.
Use the
Syncbutton in the Sync view or the corresponding buttons for individual Projects/Plans to start the synchronization.During synchronization, the app uploads your changes and Downloads all new data from other users.
NOTE: Keep the app open during the synchronization process to avoid errors and ensure a reliable data upload.
Indicators in Online and Offline Mode
In the mobile apps of docu tools, Projects can be edited both online and offline.
To transparently display the synchronization of data in offline mode, indicators are used. These help to recognize at all times whether all data is up to date and whether there are open synchronizations or errors.
Online vs. Offline Mode
• Work online: All data is directly available, no indicators are shown.• Work offline: Indicators show the current synchronization Status.
Difference: entire Project vs. individual Plans
• Filled circle: The entire Project has been Downloaded offline.• Empty circle: Only individual Plans of a Project have been made available offline.
Meaning of the Indicators
The indicators differ by colors and symbols. They provide information about the synchronization Status:
• Green: All data has been uploaded.
Note: This does not necessarily mean that all newer data has been Downloaded – it only shows that all created content is safely stored on the server.
• Blue (spinning circle): Synchronization is currently taking place. Data is being uploaded and Downloaded.• Orange (exclamation mark): There is data that has not yet been uploaded.
→ Important: To ensure that the data is safely stored on the server, a synchronization must be performed.
• Red (X): There has been an error in synchronization.
→ Details about the errors can be viewed in the Menu and must be resolved.
Special case: no internet connection
If there is no internet connection, all indicators are displayed in gray.
This signals that synchronization is currently not possible. Once a connection is re-established, the indicators will appear in the corresponding colors.
