Pin Status - Changing the Status of a Pin

The Pin Status is a crucial Item in tracking progress and managing tasks. It is displayed as a button under the Pin Title in the Pin details, right next to the Category button. Additionally, the Pin Status is visible in the Pin list view.

Overview of Pin Statuses

  • Open

This is the Default Status for a new Pin, indicating that the work is currently underway. Users with Admin Roles or the Creator of the Pin can Edit Pin details, and new tasks can be added depending on Role permissions. Comments and Media can be added by anyone.

  • Closed

Once the work on a Pin is completed, it can be moved to the "Closed" state. The details of the Pin are then no longer editable, and no new tasks can be added. The Pin remains visible on the Plan but becomes invisible to Subcontractors and external viewers if their tasks are closed.

  • Inactive

Similar to the "Closed" state, the work on the Pin is completed, and the details cannot be Edited anymore. No new tasks can be added, and the Pin becomes invisible to Subcontractors and external viewers when tasks are closed. The main difference is that Pins in this Status are not displayed on the Plan (they can be shown by adjusting the Filters). This feature is particularly useful in large projects with numerous Pins on a single Plan, as it allows better visibility of ongoing work by Deactivating completed Pins.

To display inactive Pins:

  • Use Filters in the Pin List by selecting the Status Inactive and setting the quick Filter to Inactive or All.

Closing or Deactivating Pins with Tasks

The Pin Status can only be changed by the Creator of the Pin or a user with the Role "Admin".

Steps

  1. Open a Pin.

  2. Click on the Pin Status button and select "Closed".

  3. If there are open tasks, a Pop-up window will appear where you can choose whether to close the tasks or leave them unchanged.

Bulk Edit

To streamline the process, you can perform bulk edits:

  1. Select multiple Pins in the Pin List using the corresponding checkboxes.

  2. Use the Edit button at the top of the List and select the "Edit" option.

  3. Change the Status using the Drop-down list in the displayed view.

Note: If any of the selected Pins have open tasks, they will be directly set to "Closed".

Reopening or Reactivating Closed/Deactivated Pins

Who can do this: Admin, Pin Creator.

Use the same Status button under the Pin Title for this purpose.
