The "Tags" Pin Field

Tags are generally labels or keywords assigned to content to facilitate classification and retrieval. They serve to quickly and efficiently organize and categorize information, making it easier for users to find and manage their data.

Tags can include numbers and special characters and can be written in both uppercase and lowercase letters. Since Tags cannot contain spaces, you can use "-" or "_" as separators for multiple words. For example, instead of "in Arbeit" the Tag should be "in-Arbeit".

Setting Up the "Tags" Pin Field

  • The Tags Pin Field is by default activated for each Project and assigned to all categories. This means that users can immediately benefit from the advantages of Tags without needing additional configurations, ensuring a seamless start in Project management.

  • You have the option to deactivate Tags or assign them to specific categories by going to the Pin Design tab in the Project settings. Thanks to these customization options, you can tailor the use of Tags to the individual requirements of each Project.

  • It is important to note that there is only one Tag Field per Project. This limitation ensures simplicity and clarity in Project organization and avoids potential confusion that could arise from multiple Tag Fields.

Filtering by Tags

Users can Filter content in the Pin list, the To-do list, and the media list by Tags. This allows for a targeted view of specific items associated with certain Tags, simplifying the workflow and boosting productivity.

To use the Filter, simply select the Filter predicate Tags and enter the desired Tags.

Adding and Removing Tags in the Pin Details

  1. Open a Pin.

  2. In the Tags section, there is a text Field where you can add a new Tag.

  3. Your previously used Tags will be displayed as suggestions.

  4. Select a Tag from the List or add a new one and confirm with Enter.

  5. The Tag will be added to the section.

To Remove a Tag, Click on the small x symbol next to the Tag.

Bulk Editing in the Pin List

Efficiency is key in Project management, and docu tools understands this. The ability to add or Remove Tags in bulk in the Pin List offers a quick and convenient way to update and modify Project data.

Only open Pins can be Edited.

  1. Open the Pin List in your Project by Clicking on Pins in the left menu.

  2. Select the Pins you want to Edit by Clicking in the box in the last column. The selected Pins will now be marked with a white checkmark on a black background.

  3. Click on the pencil icon to open the Editing menu.

  4. Select Edit.

  5. The option to Edit the Tags is located at the bottom of the Pop-up window.

  6. Delete or add Tags for all selected Pins.

  • If the Tag is dark gray, it will be saved for all selected Pins.

  • If the Tag is light gray with a dark border, it is assigned to only one or some of the selected Pins. If you Click on a light gray Tag, it turns dark gray and is assigned to all other selected Pins.

  • If you want to add a new Tag, Click in the Add Tag Field and enter the new word. By Pressing the Enter key, the Tag is created. You can add multiple Tags at once.

  • To Remove a Tag, Click on the small x next to the Tag.

  1. Confirm all changes with Confirm.
