Recommended Workflow for Task Distribution Between Contractor, General Contractor, and Subcontractors

In projects involving the Contractor, General Contractor (GU), and Subcontractors, we recommend the following workflow to coordinate Tasks efficiently and transparently:

  1. Create Pin and Task by the Contractor The Contractor creates a Pin with an associated Task and assigns it to the GU. This informs the GU about the upcoming activity and makes them responsible for its implementation.

  2. Delegate Task from GU to Subcontractor Instead of forwarding the received Task directly, the GU creates a new, own Task for the relevant trade and assigns it to the respective Subcontractor.

  3. Control and Feedback Once the Subcontractor marks their Task as Mark as completed, the GU is automatically notified. They check the execution and then inform the Contractor about the completion of the work – ideally in the comment or Status of the original Task.

Required Roles

For this workflow, the Contractor and General Contractor need one of the following roles in docu tools: + Admin + Contributor + External viewer

The free Version is sufficient for the Subcontractor. The Subcontractor only sees the Tasks assigned to them.
