Deletion in docu tools

As a principle in docu tools: Nothing can be deleted.

docu tools was initiated against the backdrop of a troubled airport Project and the need for a digital solution for the construction documentation of the same. The data created had to withstand a court trial, and this was - and is - only possible if it can be precisely documented and previously documented errors or performances cannot simply disappear afterwards. This non-deletability ensures documentation where every change is traceable.

Therefore, you cannot delete anything that you have entered. However, you do have the option to Deactivate Pins and other contents. Although they are still available, they will no longer be displayed in the current view and will not appear in Reports.

However, there are two exceptions:

  1. Empty Folders (Projects, Plans) can be deleted. If there are Files in a Folder, you must Move them to another Folder. Only when no Files are left in the Folder, can it be deleted.

  2. Contacts (not docu tools users) can be Removed for privacy reasons. The exception to the exception: For assigned Tasks, the name and company name remain so that no gaps occur in the already created documentation. However, new Tasks can no longer be assigned to the deleted Contact.

Reports are a special case: Reports are representations of data that exist in docu tools at the date of creation. It's like looking into a box on Monday and making a List of all the things in the box on Monday. By Thursday, a few other things have landed in the box, so you make a new List. Since no items can be Removed, you no longer need Monday's List - because Thursday's List is more up-to-date - and can throw it away. This is also the case with Reports. Therefore, they are only available for download for a limited time. If necessary, you can always create a new Report.

Deactivate contents

There are different ways to Deactivate different contents.

  • Projects, Plans: Click on ... and select Deactivate Project/Plan.

  • Pins: Select the Pin Status inactive.

  • Tasks: Open the Task, Click on ... and select Deactivate.

  • Media, Files, Activities: Click on the Archive box icon.

Delete Folder

  1. Open the Folder you want to delete.

  2. Click above the List on All to also display inactive contents.

  3. Move all existing Files (including the inactive ones) to another Folder by Clicking on ... and selecting Move.

  4. Select the destination Folder and confirm.

  5. If the Folder is empty, go to the overview. Click on ... next to the relevant Folder and select Delete Folder.

  6. The Folder disappears from your List. You may need to refresh your browser.

  7. If an error message appears, you have not yet deleted all the data from the Folder. Make sure that all inactive contents are displayed and Move these as well.

Remove Contacts

  1. In your Project, select Members from the left menu.

  2. In the List, select the Contacts tab.

  3. Click on ... next to the relevant Contact and select Remove.

  4. Confirm by Clicking on Remove or Cancel if you decide not to proceed.
