Setting Up Email Notifications

The Notification Center, also known as "Notifications", is a feature in docu tools that allows you to receive regular or immediate emails about changes, newly created Pins, Plan status updates, etc. To receive these Notifications, you must be a Member of a Project - simply creating the Project is not enough.

Each time you open docu tools, the Notifications will be displayed in the Notification Center. Additionally, you can receive these via email.

You can find the Notification Center in the top black Menu list under the Function button with the speech bubble icon. The option to set up email Notifications is located at the very bottom under Email Settings.

Setting Frequency

Depending on how often you prefer to receive Notifications by mail, set one of the following options:

  1. Never - Do not send Notifications ensures that you do not receive any email Notifications, regardless of any changes in Plans and Pins.

  2. Regularly - Every day at 6 AM, you receive a summary of all activities from the last 24 hours.

  3. Immediately - You receive an immediate notification by email in the following scenarios: - Project-related Notifications, e.g., invitations and changes to the Project status. - Plan Notifications, such as new uploads, revision updates, and changes to the Plan status. - Pin Notifications (tasks and Media), including Media uploads. - Group Notifications, e.g., about the creation of a Group, name and status changes.

The setting of frequency is a global setting. That is, whichever setting you choose, it always applies to all Notifications. If it is important for you to be immediately informed about completed work, you must select Immediately, even if it would suffice for you to read about other Notifications in a daily summary.

Following Plans and Pins

In addition to general Notifications, you have the option to follow Plans, Pins (tasks, Media), and Groups to receive targeted Notifications at the set frequency (Regularly, Immediately).

To follow a Plan, navigate to the respective Project and access the options menu by Clicking on .... Click on Follow, after which an eye icon appears next to the name of the Plan. This eye icon indicates which Plans you are following, and you can turn off this function by Clicking on Unfollow in the menu.

Following Pins

Just like Plans, you can also follow individual Pins and tasks to stay up-to-date in a Project. For example, if documentation Pins have been set in which you want to observe the weekly construction progress, you can follow this Pin and you will receive a Notification as soon as a new progress has been documented.

Click in the Pin view on ... and select Follow. Next to the Function button ..., the eye icon now appears. You can turn off this function by Clicking on Unfollow in the menu.
