Working with Project Placeholders

The provided placeholders deliver project-related information, including details about the Project itself, Weather services, project members, and contacts. These placeholders are primarily used on the title page, in the header and footer of a Report, and serve as important reference points. This article also provides information on using placeholders for project members and contacts for documenting attendance.

Placeholders for Project Details (Project Settings)

In this section, the placeholders are arranged in the order they appear in the Project Settings view. It is important to note that this view is not accessible to roles such as external viewers and subcontractors. To learn more about roles, please read this article.

  • Project details

  • {​{project-name}​} - Displays the Project name.

  • {​{Project ID}​} - Displays the Project ID.

  • {​{project-construction-type}​} - Displays the type of construction.

  • {​{project-description}​} - Displays the Project Description.

  • Project duration

  • {​{project-creation-date}​} - Displays the date the Project was created in docu tools.

  • {​{project-start-date}​} - Outputs the start date of the Project from the Project settings.

  • {​{project-end-date}​} - Indicates the end date of the Project.

  • Project Logo

  • {​{project-logo}​} - Displays the Title image, the first photo set in the Project settings. Available only for Word Reports.

  • {​{project-logo-2}​} - Displays the second photo from the Project settings. It is resized to fit into the header and footer. Available only for Word Reports.

  • Project address

  • {​{project-address}​} - Provides the Project address from the settings. By entering a valid address, you can benefit from our Weather service in Report templates.

  • Owner

  • {​{project-manager}​} - Displays the Project manager.

  • {​{project-manager-number}​} - Displays the phone number of the Project manager.

  • {​{project-client}​} - Represents the client in the Project settings.

  • {​{project-client-assistant}​} - Refers to the assistant.

Placeholders for Weather Information

The placeholders provide weather-related data based on the location specified in your Project settings. To ensure their functionality, note the validation on the right side of the address.

  • {​{weather-icon-info}​} - Displays the weather forecast for the specified Project address with a small weather icon. The placeholder is formatted as a table that contains the weather icon in the first column and the Description of the forecast and temperature details in the second column.

  • {​{weather}​} - When this placeholder is used in a Report Template, a new section appears in the Report creation window that automatically selects the weather data for the current day. By Clicking on the "Edit" Function button, you can select or change the date. Using the delete key resets the date to the current day. This placeholder does not include a weather icon.

  • {​{Pin-weather}​} - Outputs the weather from the day the Pin was created.

Project Folder

  • {​{project-parent-folder}​} - Refers to the name of the folder in which the Project is located.

Placeholders for Documenting Project Members and Attendance

For many Report creators, it is important to document the presence of people at a site or in a meeting, as well as the people who need to be informed. Docu tools distinguishes two categories of participants - active Users in the Project and contacts - Companies or providers who do not work with the app and do not have docu tools Users. More information about Project members can be found in this article and about contacts here. This distinction leads to two types of placeholders that can be used in the Report.

Attendance of Project Members

The following placeholders display the Users of docu tools within a Project in a table format that shows the name and the Company of the User along with two checkboxes: V stands for "distributed" (for Users who are not present, but the Report is sent to them), and A for "present".

NOTE: These placeholders are only available for Word Reports.

  • {​{project-members-attendance}​} - Displays a List with only active Users.

  • {​{project-members-attendance-all}​} - Displays a List of all Users, including those who are disabled.

  • {​{project-members}​} - Displays a List of all active Users without the Columns for "present" and "distributed".

Contacts (Attendees)

For documenting the attendance of people who are not Users of docu tools, we use the "Contacts" feature with specific placeholders for attendees.

NOTE: These placeholders are only available for Word Reports.

NOTE: The inclusion of all attendee placeholders is structured into a section marked by an open and closed tag format. The section begins with the opening tag {​{attendees}​}, followed by the addition of further attendee placeholders in the usual manner. The section is concluded with the closing tag {​{/attendees}​}. It is important to note that the additional / specifically occurs in the closing tag and not in the opening tag.

  • {​{attendees}​} - Opens the area of contact placeholders.

  • {​{attendee-company}​} - Displays the Company name of the selected contact.

  • {​{attendee-count}​} - Displays the number of attendees from the Company that can be selected in the Report creation window.

  • {​{attendee-email}​} - Displays the email of the attending contact.

  • {​{attendee-name}​} - Displays the first and last name of the contact.

  • {​{attendee-address}​} - Refers to the street and house number of the contact's address.

  • {​{attendee-city}​} - Represents the city from the contact's address.

  • {​{attendee-zip}​} - Displays the postal code from the address.

  • {​{/attendees}​} - Marks the end of the contact placeholder section.

When the attendee placeholders are used in a Template, an additional section appears in the Report creation window. To add contacts as attendees to the Report, use the "Add..." Function button.

How Can Pin Fields Be Used to Document Attendance

The introduction of Pin fields offers an alternative method for documenting attendance. You can now create a number Pin field for each Company name. Then, place a new Pin on the Plan indicating the date of the Report, inspection, or meeting. Within this Pin, you can enter the number of attendees from the respective Company. Additionally, text fields can be used to record the names of the attendees or additional Notices.

To display the information in the Report, simply use these Pin fields in a Report Template using the appropriate placeholders. More information on using Pin field placeholders can be found in the associated article.
