This feature offers two major functionalities for an even better and therefore easier on-site cooperation:
Assign tasks to an entire team
On the construction site it is often unclear who's in charge of what. By assigning tasks or defects to an entire team, this team can start working immediately.
View pins of all team members
Better working together and easier collaboration for individual teams, having full control over the pins of the other team members, e.g. for holiday covers or when leaving a project. This is especially useful for the roles External Viewer or Contributor.
Basics
- Every member of a project can be a member of one team only.
- Contacts cannot be team members.
- Every team has a role and only members with the same role may join a team.
- Teams are always created per project.
- Every team member receives a notification if the team receives a new task.
Create team
Click "New Team" in the menu item "Teams" and name the team (e.g. drywaller, company AB, etc.).
Add an exact despriction of the team for the other members of the project.
Assign a role to the team. Click "Create" to invite members to the team. Please consider that only members with the same role can be members of a team.
.
Only persons that already are members of a project can be invited to a team. If you cannot find the person you are looking for in the list, invite this person under the menu item "Members".
If users do not have the same role as the team, they are shown in bright grey and cannot be selected. Users already invited to the team are shown in in orange.
When having selected all team members, click "Invite" and the team is being created.
Edit team
To change the title or members of a team, click "Edit team details" or "Edit members" to get to the respective input screen.
Deactivate team
An entire team is deactivated by the same established logic of deactivating a member. The team is still displayed, but as "inactive", and all members are being removed from the team. Simply assign open tasks assigned to the deactivated team to another team or user.
Change role
The role of a team can only be changed if all team members have been removed. Thus, we recommend to deactivate the team and create a new team with the requested role.
Remove team member
If you remove a member from a team, the user disappears from the list and loses all rights based on his team membership. Please consider that a synchronization error may occur, if the user has data on his tablet that has not been synced yet. Read More
If a user is being removed from the project team, the user is deactivated. If the user is also invited to a team, he will be automatically removed there as well.
Important: Pins always stay in the team they have been created in.
If a member has been removed from the team, the remaining members can still see the pins which the removed user has set during his team membership. Read more on visibility.
Info: We are already working on a Team History that will show exactly during which period of time a user was member of a team.
Assign task
When you have created a team, you may assign tasks as usual by creating a task and assigning it to the team.
For details on the team members click the information button (i).
When having assigned a task to team, click "Create". All team members receive a notification about the new task they have been assigned to.
Visibility of Pins
There are different ways of visibility depending on the role of a team:
Subcontractor team
- View: All pins with the task assigned to the user
- View: All pins with the task assigned to the team
External Viewer team
- View: All pins with the task assigned to the user
- View: All pins with the task assigned to the team
- View and Create: All self-created pins
- View and Create: All pins created by other team members or pins brought into the team
Contributor team
- View: All pins
- Create: All pins created by other team members or pins brought into the team
Administrators & Internal Viewers
- Always see all pins, i.e. there is no change in visibility
Membership properties of pins to a team
- User creates pins without being member of a team.
- If the user is invited to a team, all pins created by that user will be automatically allocated to this team and all team members can see and edit these pins.
- If the user leaves the team, the pins remain assigned to the team. Should the user join another team, this process is repeated.
