Tags, in a general sense, are labels or keywords assigned to content to facilitate classification and retrieval. They serve as a quick and efficient way to organize and categorize information, making it easier for users to locate and manage their data.

Tags can include numbers, special characters, and can be written in either uppercase or lowercase letters. Since tags can't have empty spaces in them, in the case of multiple words you can use "-" or a "_" as dividers. For example: instead of " in progress", the tag should be "in-progress".

Setting up the "tags" pin field

  • The Tags pin field is activated by default for every project and assigned to all categories. This means that users can immediately harness the power of tags without the need for additional configurations, ensuring a seamless start to their project management journey.

  • You have the ability to deactivate tags or assign them to specific categories by navigating to the Pin design tab in the Project settings. This level of customization ensures that you can tailor the use of tags to align with the unique requirements of every project.

  • It's important to note that there is only one tag field in any given project. This limitation ensures simplicity and clarity in project organization, avoiding potential confusion that could arise from multiple tag fields.

Filtering by tags

Users can filter content by tags in the Pin list, Task list, and Media list. This enables a focused view of specific elements associated with particular tags, streamlining the workflow and enhancing productivity.

To use the filter, simply select the filter predicate Tags and provide the desired tags.

Adding and removing tags in pin details

  1. Open a Pin.
  2. In the Section Tags there is a text field where you can add a new tag.
  3. Your previously used tags will be provided as suggestions.
  4. Select a tag from the list or add a new one and confirm with Enter.
  5. The tag wil lbe added in the section.

To remove a tag, click the small x icon next to it.

Bulk Editing in the Pin List

Efficiency is key in project management, and docu tools understands this. The ability to add or remove tags in bulk in the pin list provides a quick and convenient way to update and modify project data.

Only open pins can be edited.

  1. Open the pin list in your project by clicking on Pins in the left menu.
  2. Select the pins you want to edit. To do this, click in the box in the last column. The selected pins will now have a white check mark on a black background here.
  3. Click on the pencil icon to open the edit menu.
  4. Select Edit.
  5. The option to edit the tags is on the bottom of the pop up.
  6. Delete or add tags for all selected pins.
  • If the tags is highlighted in dark gray, it is stored for all selected pins.
  • If the tag has a light gray background with a dark border, it is only added to one or some of the selected pins. If you click on a light gray tag, it will turn dark gray and will be attributed to all other selected pins.
  • If you want to add a new tag, click in the field Add new tag and type the new word. Pressing the Enter key will create the tag. You can add several tags at once.
  • To remove a tag, click on the small x next to it.
  1. Accept all changes with Confirm.
