The members of a project consist of Internal Users of your organisation (company) and External Users (subcontractors, docu tools User, contacts).
If you are invited as docu tools User to a project, then this project does not count as your active project because of the invitation.
docu tools-User from your organisation who can be invited via a project. You can invite Users either through Menu option ‘Members’ or through ‘User management’. Each of these Users can be given specific permissions. Everything about ‘Permissions’ can be found in ‘Licence management’.
- Invite Internal User
Open a project and click on ‘Members’.
- Click on ‘Option’ and then,
- ‘Add User’
Additionally, you can filter Users by ‘My Organisation’ or ‘Other Organisation’.
- Enter the name of the User of your organisation into the respective field, select a Right and click on ‘send’.
Tip: You can invite multiple people into a project simultaneously!
Project partner from an ‘external organisation’, a free user as ‘subcontractor’ or a ‘contact’. All named users are described in more detail in the following paragraph.
docu tools-User that are added from an external organisation to your project can be invited via ‘Members’.
If a User is added for the first time to a project, the full e-mail address needs to be entered. Here too, multiple Users can be invited simultaneously.
You can set the Rights of the User directly when sending the Invitation to the project. Or click on the User, and a window with ‘User details’ will open. In this window, the Role of the User in the project can be set.
The Role of the Subcontractor is a free option to work in a project with docu tools. If you are invited with this Role to docu tools, you will only be able to see tasks allocated to you and can complete them. Everything on the topic of ‘subcontractor’ can be found in ‘Roles’.
Contacts are companies or single Users who do not work with docu tools, neither as docu tools User nor as free docu tools User.
- Open the project, to which you want to add a contact.
- Open 'Members'
- Click on the submenu 'Contacts'
- Click on ‘add contact’
The orange fields are mandatory fields for entering a contact to a docu tools project.
With Licence management you can also invite Internal users of your organisation to a project.
- For this, open licence management in the top menu bar and click on ‘licence management’
- Select the User that you want to allocate to a project, click on ‘Options’ and then on ‘Manage Roles’.
- Click on the drop-down arrow in the project to which you want to add a User and select a ‘Role’.
