The provided placeholders supply project-related information, including details concerning the project itself, weather services, project members, and contacts. Primarily featured on the title page, header, and footer of a report, these placeholders serve as key reference points. This article also provides information on how to use project member and contact placeholders for attendance documentation.

Within this section, the placeholders are arranged according to their sequence as seen in the project settings view. It's important to note that this view is not accessible to roles such as external viewers and subcontractors. To learn more about roles, please check this article.

  • Project details
  • {{project-name}} - Displays project name.
  • {{project-ID}} - Show the project ID.
  • {{project-construction-type}} - Indicates the type of construction.
  • {{project-description}} - Provides the project description.

  • Project period

  • {{project-creation-date}} - Reflects the date when the project was created within docu tools.
  • {{project-start-date}} - Reflects the project start date from the project settings.
  • {{project-end-date}} - Reflects the project end date.

  • Project logo

  • {{project-logo}} - Displays the project picture, the first photo set in the project settings. Only available for word reports.
  • {{project-logo-2}} - Displays the second photo from the project settings. It is downsized to fit the header and footer. Only available for word reports.

  • Project address

  • {{project-address}} - Provides the project address from the settings. By entering a valid address you can benefit from our weather service for reports.

  • Stakeholders

  • {{project-manager}} - Indicates the project manager.
  • {{project-manager-number}} - Displays the project manager's phone number.
  • {{project-client}} - Represents the owner in the project settings.
  • {{project-client-assistant}} - Refers to the owner's assistant.

Placeholder for the weather information

The placeholders will offer weather-related data based on the location specified in your project settings. To ensure their functionality, refer to the validation located on the right side of the address.

  • {{weather-icon-info}} - Displays the weather forecast for the provided project address, featuring a small weather icon. The placeholder is formatted as a table, presenting the weather icon within the first column and the forecast description alongside temperature details in the second column.

  • {{weather}} - When this placeholder is used in a report template, a new section will appear in the report creation window, automatically preselecting the weather details for the current day. By clicking on the edit button you can select a modify the date. The delete button resets the date back to the present day. This placeholder does not include a weather icon.

  • {{pin-weather}} Displays the weather of the date of the creation of the pin.

Project folder

  • {{project-parent-folder}} - Refers to the name of the folder in which the project is situated.

Placeholders for documenting project members and attendance

For many report creators, documenting the presence of individuals at a site or in a meeting, along with those who need to be informed, holds significant importance.There are two categories of attendees in docu tools - active users on the project and contacts - companies or vendors who do not work with the app and have no docu tools users. This distinction leads to the existence of two types of placeholders that can be employed within the report.

Project members attendance

The following placeholders display the docu tools users within a project using a table format that showcases the user's name and company, along with two checkboxes: V representing "distributed" (applicable for users not present but to whom the report will be sent), and A for "attended."

NOTE: These placeholders are only available for reports in Word format.

  • {{project-members-attendance}} - Presents a list of active users exclusively.
  • {{project-members-attendance-all}} - Shows a list of all users, including those who are deactivated.
  • {{project-members}} - Lists all active users without the columns for "attended" and "distributed".

Contacts (Attendees)

For documenting the attendance of individuals who are not users of docu tools, we employ the "Contacts" feature along with specific placeholders for attendees.

NOTE: These placeholders are only available for reports in Word format.

NOTE: The inclusion of all attendee placeholders is structured within a section marked by an open and close tag format. The section starts with the opening tag {{attendees}}, followed by the addition of other attendee placeholders in the usual manner. To conclude, the section is terminated by the closing tag {{/attendees}}. It's important to note the presence of the additional / specifically in the closing tag and not in the opening tag.

  • {{attendees}} - Initiates the opening of the contact placeholders section.
  • {{attendee-company}} - Displays the company name of the selected contact.
  • {{attendee-count}} - Indicates the number of attendees from the company, selectable in the reports creation window.
  • {{attendee-email}} - Displays the email of the attending contact.
  • {{attendee-name}} - Lists the first and last name of the contact.
  • {{attendee-address}} - Refers to the street and number from the contact's address.
  • {{attendee-city}} - Represents the city from the contact's address.
  • {{attendee-zip}} - Displays the zip code from the address.
  • {{/attendees}} - Marks the closure of the contact placeholders section.

When the attendee placeholders are used in a template, an additional section will appear in the report creation window. To add contacts as attendees to the report, use the button Add....

How to use pin fields to document attendance

The introduction of pin fields offers an alternative method for documenting attendance. You can now create a number pin field for each company name. Subsequently, create a new pin on the plan, specifying the date of the report, inspection, or meeting. Within this pin, you can input the number of attendees from each respective company. Additionally, text fields can be utilized to include attendee names or any supplementary notes.
